Customer Care Coordinator - Contract (202649)
Reporting to the Deputy Clerk – Administration, this position provides customer service and performs related administrative activities for a variety of areas associated with Service Halton Hills including Vital Statistics, Municipal Tax payments, Business Licensing, Marriage Licensing, Committee and Council information and general corporate inquiries.
As a first point of contact with the Town of Halton Hills, this role is responsible for providing positive interactions with both internal teams and the public by providing accurate and timely information about municipal services.

Accountabilities:
Customer Service
- Respond to customer inquiries at the Service Halton Hills (SHH) counter providing accurate and timely information about municipal services.
- Handle customer service calls via the main switchboard.
- Assist customers with parking tickets, tax payments, business licensing, dog licences, penalty notice disputes, sign permit applications and general enforcement inquiries.
- Administer and process recurring payments and daily reconciliation using Great Plains, Amanda and GTechna.
- Receive and direct visitors for the Office of the Mayor and CAO and all other departments at Town Hall.
- Respond to and/or forwards website and customer relations management inquiries to the respective departments.
Licensing
- Act as Deputy Division Registrar for the processing of marriage licences, death and burial registrations and acceptance of stillbirth information.
- Liaison for area Funeral Homes, issuing burial permits while ensuring accuracy in all death certificates and information that is sent to the Office of the Registrar for processing.
- Prepare monthly report for Accounts Payable to invoice funeral homes for permits issued.
- Responsible for the issuance of marriage licences, ensuring all information is accurate through confirmation of identification.
- Receive and review all documentation associated with the issuance of marriage licences including review of original copies of divorce certificates.
Business Licensing
- Provide assistance to customers applying for business licences by reviewing the application, processing and verifying all documentation related to new applications, renewals and change of business ownership.
- Assist the Deputy Clerk-Administration with follow-up to delinquent accounts, missing information and change of address or ownership.
- Answer all inquiries related to the Business Licence By-law including requirements for each category of licensing and any prohibitions associated with each.
Property Taxes
- Accept and process tax payments, including the handling of all post dated cheques.
- Process other tax-related programs and applications as assigned.
- Print and process payments for tax statements.
- Forward complex inquiries to a subject matter expert in the taxation department.
Other Duties
- Daily cash reconciliation of revenue received for property taxes, parking fines, business licences, marriage licences, dog licences, Freedom of Information applications, Activan tickets, sign permits, etc.
- Run daily cash report from Great Plains, Central Square, Amanda, Moneris and GTechna, ensuring all separate reports balance at end of day.
- Assist supervisor with continuous improvements in order to provide seamless and responsive customer service.
- Assist with the Municipal Election.
- Provide additional assistance to other departments as requested.
- Perform other duties as assigned
Qualifications:
- Post-secondary degree or diploma.
- Three (3) years of related experience in a municipal environment.
- General knowledge of the Municipal Freedom of Information and Protection of Privacy Act (MFIPPA) related to the protection of personal information.
- Completion of the Municipal Administration Program (MAP) from the Association of Municipal Managers, Clerks and Treasurers of Ontario (AMCTO), or working towards completion.
- Exceptional interpersonal and communication skills with the ability to effectively interact with a diverse range of individuals.
- Thorough understanding of municipal services and the ability to provide accurate and efficient customer service.
- Proficiency in Microsoft Office and municipal software applications, including GTechna, Great Plains, Central Square, Amanda, and cashiering systems, with the ability to quickly adapt to new technologies.
- Proven experience handling and reconciling significant amounts of cash while maintaining a high degree of accuracy and accountability.
- Strong customer service skills, including the ability to de-escalate difficult situations and resolve issues in a professional manner.
- Knowledge of municipal by-laws, legislation, and the Town's organizational structure.
- Strong organizational and time management skills, with the ability to manage competing priorities, multitask, and adapt in a fast-paced environment.
- Demonstrated ability to work independently, exercise sound judgment, and meet deadlines.
- Ability to establish and maintain effective working relationships with the public, staff, elected officials, and stakeholders.
- Strong problem-solving and dispute-resolution skills.
- Ability to maintain professionalism, discretion, and confidentiality at all times.
Compensation:
The rate of pay for this position (35 hours per week) is $36.38 - $43.31 per hour.
